Permissions and Roles in Workspace Settings
Welcome to your weekly Personal AI newsletter! Stay informed with practical tips, feature highlights, and real examples to help you and your team build and manage AI personas more effectively. With Personal AI, you can create an evolving AI workforce trained on proprietary knowledge, streamlining workflows and driving innovation across your business.
We're excited to introduce a new way to manage your organization’s workspace with enhanced settings and role-based permissions. On the Personal AI Enterprise Platform, teams can now customize access and responsibilities, ensuring the right people have the right tools and controls. With clearly defined roles and permission levels, collaboration stays secure, streamlined, and aligned—so your organization can scale AI efforts with confidence and clarity.
The Personal AI Workspace includes three roles:
Workspace Owners are the highest-level administrators who have complete control over the workspace. They manage the organization’s structure, billing, and have full administrative powers. Think of them as the workspace’s executive leadership - they make critical decisions about workspace configuration and user management.
Workspace Admins serve as day-to-day managers who help maintain and organize the workspace. While they can’t handle billing or make top-level decisions, they have significant control over member management and workspace customization. They’re like team leaders who ensure smooth operations without having financial responsibilities.
Workspace Members are the standard users who can participate in channels, communicate with others, and manage their own created content. They focus on collaboration and communication within the workspace but don’t have administrative privileges. Think of them as team members who contribute to the workspace’s activities without management responsibilities.
Workspace Management Settings For Owners and Admins
Under Organizational Settings, you can manage People settings, where you can view members’ names, email addresses, and their roles within the workspace.
To update a member's role later, click the dropdown arrow under “Roles” next to their name.
Owners and admins can assign roles such as Admin, Member, or Guest.
Each role is designed to create a clear hierarchy of responsibilities while maintaining security and proper access control within the workspace.
See below for what account settings and permissions each role has:
“My AI” View For Different Roles
The workspace owner will have visibility of all Personas that belong to the workspace.
Workspace Admins and Owners who have been shared a Persona—either as a manager or collaborator—will see it listed under "My AI" in the "Shared Persona" tab.
